Purpose: The purpose of this study is to examine the extent to which Digital Employee Experience (DEX) is integrated into requirements gathering processes in the implementation of digital workplace tools, and how this integration influences employees’ actual use of these tools in their daily work. Through this, the study aims to contribute to an increased understanding of how requirements practices can be designed to support a more user-centered and effective digital workplace. Research questions: 1. How are DEX perspectives incorporated into requirements gathering processes in the implementation of digital workplace tools? 2. What significance does the inclusion of DEX perspectives have for employees' actual use of new digital tools? Method: The study was conducted as a case study with an abductive research approach and a combination of qualitative and quantitative methods. Empirical data was collected through interviews, a survey, and analysis of anonymized and aggregated user data. Conclusion: The study shows that DEX is only to a limited extent integrated into IT organizations’ requirements gathering processes when implementing digital workplace tools. Although user involvement and dialogue are present, a structured and shared DEX perspective is often lacking throughout the process. The findings indicate that a clearer integration of DEX, focusing on users’ work context, training, and change support, contributes to higher and more sustainable actual use of digital tools. The conclusion is that DEX should be regarded as a strategic component in requirements gathering to strengthen value realization and long-term value creation in digital workplace initiatives.
