Documentation and traceability requirements are becoming increasingly important in the construction industry, making certification systems such as BKMA increasingly relevant. BKMA is a Swedish construction-sector certification system focused on quality, environmental management, and occupational health and safety. For small construction firms, however, such requirements may be difficult to manage because these companies often operate with limited administrative resources while maintaining a strong focus on day-to-day production. The purpose of this project was therefore to examine how digital self-inspections that meet BKMA requirements can be implemented in a small construction company in a user-friendly way without creating unnecessary administrative load for either the company or its workers. The study is based on a theoretical framework combining Total Quality Management, Usability,and Normalization Process Theory. Together, these perspectives were used to analyze quality development, usability, and the implementation of new routines. The project was carried out as a case study at Årstavikens Bygg AB. Data was collected through document review, surveys, and semi-structured interviews with employees. In addition, a pilot test was conducted in which newly developed digital self-inspection templates were introduced in ten ongoing projects. The findings show that the new templates improved the clarity and comprehensibility of the documentation process. The perceived administrative burden also decreased substantially: before the pilot test, 50.0% of respondents considered the burden too high, compared with 12.5% after the pilot test. At the same time, the completion rate during the pilot test was only 25.0%, indicating that the new routine had not yet become fully established in the company’s day-to-day operations.The study concludes that digital self-inspections in accordance with BKMA can be developed and introduced effectively in a small construction company when they are designed to match the needs of specific occupational roles and are easy to use in practice. However, long-term implementation requires more than improved templates alone. It also depends on clear communication of the purpose of inspections, active user involvement in the design of inspection checkpoints, and sufficient managerial time for coordination, follow-up, and support throughout the implementation process.
